Karrikins Group has over 120 staff delivering projects and programs in more than 15 countries, but they did not have adequate IT and business support processes in place, posing a risk in scaling the business. Outdated and inefficient processes was a key deficit and led to a lack of transparency. This was a key improvement area identified by Richard Hay, IT Director at Karrikins Group, when he joined last December.
Additionally, best practices around asset management were outdated or nonexistent for internal audits. Assets were outlined in financial ledgers and license information was not kept current.
“We had a very static record of information,” said Hay. “The company’s IT support was outsourced and tasked with keeping a record. The reality of it was that we knew what we bought, when we bought it, and who it was bought for. But, beyond that, we didn’t know anything else.”
Hay knew a cloud-based asset tracking solution was needed for inventory and contract management, as well as reporting. It needed to be cost effective and allow the organization to continue outsourcing their technical IT function, but more efficiently.
The search began with a request for proposal to a number of companies. Hay’s IT asset management requirements were met with pricey quotes, between $25,000 – $40,000 USD, for solutions providing far more than what the Karrikins organization needed in a solution.
His continued search led him to Samanage, where ITAM requirements were met at reasonable cost with a relatively easy implementation. “Even as a small client, we got that personal service and were never left waiting,” said Hay.
“With Samanage, reporting was there, which finance liked, and it was easily accessible and incredibly intuitive for our IT team,” said Hay. “It also made it significantly easier to know who was running what reports.”
One of the immediate benefits for Karrikins Group was understanding the cost of everything. With Samanage in place, Hay can go to the finance team with the knowledge and transparency of understanding the costs for employees, licenses, monthly storage, and inventory, as well as being able to retrieve historical data, if required.
“It really comes down to real-time accurate information,” said Hay. “From financial record keeping and being able to cross check back to the business, our financial records are more accurate with Samanage.”
Another unique benefit for Hay was tracking warranties. There was a history of having mismatched equipment when he started at Karrikins Group. “Now, I can log in and look at a team member’s Lenovo or run a report and see what has expired,” said Hay. “Everything is automated. And with reporting, we can see what has changed at the audit level.”
As Karrikins Group continues to work within Samanage, unexpected insights were gained into assets missing antivirus software or unauthorized software downloads. “Samanage has given us a dashboard where we can quickly visualize a risk assessment, letting us know who doesn’t have an antivirus installed and more,” said Hay.
