How to Effortlessly Manage Your IT Assets

I think everyone has joined up to this point. Alright hopefully everyone should be seeing my screen now. Welcome to How to Effortlessly Manage Your IT Assets webinar. My name is Brandon Miller. I’m the customer success manager here at Samanage. Our customer success team is ensuring that you are successful in your account with Samanage. All your support from us is make sure that once you come on board you have everything you need to be successful the application. So a couple of things we will be going over today. First things first. What we are looking for their really looking for an ITIL-ready solution. That’s simple feature rich solution as well as something to unify their assets to the tickets and the people that support all in one place. They’re looking for something that they can access from anywhere, in a world where everyone is on their cell phones they need to be able to access their applications via their cell phones. They’re also looking to transition to a more service-oriented organization where IT is playing a more central role in facilitating the needs a you know your entire organization not just from an IT perspective. We believe that’s Samanage actually fits all those needs.
To give you a little bit of background about Samanage. We are a one hundred-percent multi-tenant SaaS-based asset management and service desk application. From our asset management perspective, we’re an agent-based system and I’ll show you through the application here in just a few minutes. That agent will report back of your computer’s hardware and software data your life cycle events different risks, all sorts of different information which will get into here shortly Then our service desk is actually very great integrated tool as well. So you can keep track of all of your end users tickets and requests. There’s a lot of automation and inline editing that can go into that as well. That’s something that we will cover on another webinar or you can get in touch with an account manager and see that personally. But that’s the Samanage solution. We wanted to make it as easy as possible to use. We wanted to make it as easy as possible to deploy and those are two things that we that we really pride ourselves on. As you can see there is instant value and almost all of our clients, if not all of them are up and running in under 14 days. If that’s what they want to do. Code-free customization, it’s all you know check boxes and configuring everything without having to go in and do any coding. You don’t have to hire an admin or anything to manage Samanage. It’s all a very user-friendly. Again we are ITIL-ready. But the revolutionary and streamlined UI is great in terms of here being incredibly easy to you so that you know your end users will enjoy using it. Being a continuous deployment system we can actually push out updates to our application real time with no down time to you. We hear different feature requests on our community that you know we think would be a good idea, we can go ahead and just add that in. You don’t have to wait for the next big release to come out. It’s all real time which is really nice. And, again, it is a unified ITSM and IT asset management solution, making it really easy to keep track of who has what where it is and what’s happened to it over time.

What we’re actually going to do now is jump into our demo account. I’ll show you through the asset management portion of the applications and show you exactly how it works. Let me go ahead and switch over to our dashboard here. This is essentially our demo account. A lot of different people that touch this on a daily basis. Just to kind of give you the the general idea here this is the our dashboard and this is what you’ll see every time you log into the application. This is fully customizable per user. So I can take these widgets and put them wherever I want. I can go up here under customize and see all the different widgets the that there are issues for a more you can build your own Just a great way to kinda manage your day straight from this dashboard. And have the reports that are relevant to you. Over here is a navigation bar we’re eventually going to end up here in the inventory section out of first things first I actually want to show you how we get the agent out all those machines that you’re looking to track. Again like I mentioned the Samanage agent is 5 megabyte piece of software that you put out to all machines that you want to track We’ve got agents for Windows Mac Unix Linux. we’ve got mobile agents now as well for iOS and Android devices. What I wanted to do was take you here to the deployment section to show you how you get those agents out there. They are on the computers and they will report back all your metadata all your hardware and software information. I’m going to show you that in just a minute but it will report it back everyday so that you know of your information is always up to date. But here’s essentially how you get it on the computer. A lot of people ask me, “where do I actually download the agent from?” You can do it right from your account here so you can actually download it to your individual computer right here for you know Windows, Mac, Unix, or Linux. Or, you can go over here to your organization and you can use a domain logon script to deploy aging out silently. If you guys are in Active Directory shop you can do it through Group Policy option and push it out that way as well. Again there are different step-by-step instructions screenshots here or you can also email it out to your end users as well. That’s just a couple different ways there are other ways as well that are going to get a little bit more technical, but those are the basic ways that we tell you to get it out there.
Let’s go ahead and jump over to the inventory section now. And this is essentially going to be where all your computers report back once that agent starts sending back that information. A couple different things to note here as well everything and I’m going to show you across the application here today is completely reportable. So, I can go up here and add as many filters as I want. For instance if I wanted to go through and see you know all the computers from our North Carolina office, which is why I’m talking to you from today, if I wanted to see all the computers that were operational as well I can go through and build out that report, hit apply It will bring up the relevant information that’s relevant to that report I can then save it as a new report with this and it will populate this drop down for later usage, so that I don’t have to keep going through and adding filters over and over again. And, you can export this out to a variety of different avenues whether it’s to a CSV XML, you can turn it into a PDF, print it out, turn it into an RSS feed and put it on the dashboard, like I showed you initially however you want to get that data out. The data is yours, we don’t charge for exporting data. If it’s in the system, we allow you to take it out.
Let’s go ahead and jump into my laptop here. This is an asset overview page. This is going to give you a high level view of your operating system, your IP address, again keep in mind all of this is being automatically reported back. As you can see last update: year on November 11th, so yesterday afternoon. Down here is where you can change the the category. The agent will automatically pick up if it’s a laptop, desktop, and server or what have you. You can change here manually if you need to. Here’s how you can change the status your computers as well. You can run a report for all the operational computers and these are all yeah filterable items. We also have QR codes as well. This is a neat future. Every asset that goes into the system gets one of these. So a use case here is if your technicians are standing next to a computer and then not exactly sure what it is they can scan the QR code you attach to it. With any a free QR code scanners you can find on any mobile devices app store, whether its App Store and Google Play Store. Then it’ll bring up this asset overview page. The entire application is written in HTML 5, so you can see it on a mobile device. That way if you’re standing next to it you can scan this and see exactly what you’re standing next to. Some bar code and asset ID functionality. We definitely recommend QR codes in that regard. But here’s how you’re going to associate different owner details as well this actually relates directly back to your user profile. So we’ll take a quick look at this because this is great as well.
As I bring up my user profile here, you can see all my personal information over here on this left side, picture and email address up here tell all the computers or other assets which are going to be anything without an operating system that just getting our agent are already mobile devices that are associated to a user. So a use case for this is for employee onboarding or off boarding or if an employee is leaving the company in you want to make sure you have all their equipment accounted for, you can get the full synoptic view of it. If you are interested in the service desk as well you can see any like incidents that they’ve been assigned or have requested from the end user perspective. Down here is how you can associate different site and department details to these assets. Just keeping track of where everything is and where it’s been over time. we have default computer assignment rules as well, so that if these computers ping different IP addresses or domains it can automatically reassign it to different sites and it’ll keep track that in the life cycle as well, which we’ll get to that in a minute. Down here are different custom fields and there’s all sorts of different use cases i’m for these custom fields. The one that we have right now is a check in/check out scenario. So, that you can keep track of all the computers that are checked in or all the computers that were checked out on a certain date. These are actually all filterable items. Although these are custom and not natively built into the application, you can still filter and report off of these items. There’s a lot of different use cases for this.
